Booking Terms and Conditions contain important information. It is essential that you read them carefully and understand them. The Booking Terms and Conditions constitute a legally binding contract between Prime Himalayas Pvt Ltd and you for the services provided by Prime Himalayas Pvt Ltd.

Bookings and Payments

To process a booking, you must send us a completed booking form with a 25% deposit as detailed below. This will constitute acceptance by you of these Terms and Conditions. We require you to email a copy of each passport to our office email address info@primehimalayas.com. After receiving your passport and the completed booking form with your 25% deposit, we will send you a final confirmation receipt. A bank service charge may apply and should be paid at the time of deposit. A legal guardian must accompany all travelers under the age of sixteen. If you have a question regarding age and suitability, please contact us for further information.

For credit card payment, please contact us. We only accept Visa or MasterCard and a 4% Bank Commission for the card processing fee. You can pay the remaining balance upon arrival in Nepal.

Cancellation & Booking Changes

  1. Cancellation notice is required a minimum of 60 days prior to the trip departure date and must be made in writing; such notice commences from the day received. Cancellation shall be valid with approval from the company after receiving documentation. The trip shall then be termed as canceled, and a cancellation charge of 30% of the trip amount would be deducted from the advance paid.
  2. Your deposit will be a lifetime deposit. Once you book and pay the deposit and if you would like to cancel less than 60 days from the departure date, then 30% of the paid deposit will be deducted, and the rest of the amount will be considered as a lifetime deposit, which you can use for a future trip and send us a note.
  3. If you are prevented from traveling on the tour by genuine circumstances, for example (without restriction) because of the death, injury, or serious illness of the passenger, close relative, or friend, redundancy, or jury service, you may postpone or transfer your booking to another person, provided they meet all the requirements relating to that tour.

Travel Insurance

Travel insurance is compulsory for all people undertaking any trekking tour in Nepal for your safety. It should provide ample protection for the full duration of the tour/trekking to cover personal injury, death, medical expenses, repatriation expenses, helicopter rescue, air ambulance, and reliable cover for baggage.

Passport and Visas

All clients must have a valid passport with at least 6 months’ validity from the arrival date. Nepalese visas can be obtained from the Nepalese Consulate in your country or upon arrival at Tribhuvan International Airport in Kathmandu. Nepalese visa costs are the sole responsibility of clients.

Changes to your Holiday and Pricing

Traveling with us requires a degree of flexibility, good humor, and an understanding that modes of transport, accommodation, and itineraries may change, even after the tour has commenced, without prior notice due to local circumstances such as flight delay, cancellation, or postponement due to infamous weather around the trails or other unpredictable circumstances such as landslides, road blockage, flood, snow, political unrest, or other natural reasons. We are unable to refund any money under the above circumstances due to prior arrangements. If possible, we will always try to provide you with an alternative or substitute trip of the same category. We do not accept any liability for loss of employment, delays, or compensation resulting from situations beyond our control.

Privacy

In order to collect information from you to make a booking through Prime Himalayas Pvt Ltd, we ask many questions to obtain the necessary documentation. No private or personal information that you supply to us when making a booking will be disclosed for any other purposes. For more details, please check our privacy policy.

Risk & Liabilities

We are committed to providing the best services that will give you an unforgettable experience. We perform our duties honestly and seriously to make your adventure very smooth and pleasant. However, the entire programs in Nepal, Bhutan, and Tibet are conducted strictly under the rules and regulations of their own policies. Therefore, Prime Himalayas Pvt Ltd and its related organizations shall not be responsible for any changes in the itinerary due to unavoidable circumstances such as government restrictions, landslides, road blockage, flood, snow, political unrest, cancellation of flights, delays, sickness, or accidents. Any extra cost incurred thereof shall be borne by the clients on the spot.

If you have a complaint about the trip or tour, you must inform the company via written email at info@primehimalayas.com or call directly +977 9851057582 (WhatsApp) at the earliest opportunity. We will take the applicable action or refer you to the company representative at our office in Kathmandu.
